The conference welcome meeting is held on the evening of Sunday September 2025 with conference sessions run from the morning of Thursday 2025 at Midday (approx)
To allow for pre and post stays, we have allocated rooms from the Thursday. If you require dates or room types not part of our allocation, please email nick@traveldesigners.co.uk

With a balance of spaces and places where you can relax after your conference sessions, whilst providing excellent modern meeting facilities.
After your conference session, why not, t-off at the neighbouring golf courses or relax in the adults-only eco pool, or experience the mini-golf course or flying trapeze, to name just a few of the on-site activities available.

For 2025 you will be required to have a conference area wrist band which is only available when booking your room with Travel Designers Meetings & Events. If you book anywhere else apart from us, the authorised agent, Club Med will not allow you access to the Conference area, Please note there is a four night minimum stay.
You must stay at Club Med, if you wish to attend the conference and NO DAY PASSES will be issued under any circumstances. This is due to resort security.

All delegates booked by Travel Designers Meetings and Events will be issued an exclusive wrist band. This is the only way you can access the conference centre. Regretfully these will not be made available to any guests who may have booked elsewhere
To secure your room and conference area access wrist band, there is a £200 per person non refundable deposit at the time of booking. The remaining balance is due to be paid by bank transfer on or before the 21st June 2025
This is payable directly to Doctors Updates and is not included in any of the room and wristband charges.
Due to local regulations Day Passes will not be available for the 2025 Conference , under any circumstances
Regretfully the resort will not accept arrivals before noon on Monday. You will not be allowed into the morning conference session. So you will need to have checked in on the Sunday
Resort Check in is from 3pm. If you arrive in resort and wish to use any of the facilities beyond reception, you can pay a fee locally of around Euro 50. This charge is made by Club Med and not the organisers
On your day of departure, please ensure you have checked out and left your luggage outside your room clearly labelled by 10am
Club Med will store your luggage until your departure, if you stay for Dinner, a local fee will be payable.
A local government tourist tax of approx 2Euro per person per night is payable locally at Club Med.

Regretfully we are unable to book any flights for you due to new regulations.
Yes, we can, please go to the form on this website, and complete the details, We will need to know where you are flying from, the date, the departure time and arrival time, along with the flight number and the same for your departure, we will also need to know where you are flying to. We will also need to know the number of passengers who will be taking the transfer. On the return journey, the transfer company sets your pick up time, we are unable to change this. If you are a delegate who likes to "cut it fine" then we suggest you book a one way transfer to the resort and make your own arrangements for your return trip to the airport. Transfers must be booked no later than seven days before the start of the conference.
Yes, these are only available as part of your room package booked via Travel Designers Meetings & Events. They are not available to purchase separately or from anywhere else.
No ! To save on printing and the environment, we are committed to cut down on paperwork. You will be emailed at the time of booking, a Booking Summary, this together with your emailed final receipt is all you will need.
Yes, you can, however you will need to pay a local fee directly to the Club Med reception. This charge is made by Club Med and not the organisers.
Regretfully Club Med will not allow us to guarantee the location of your room. If you book a Coimbra / Belem room you will be allocated a room in either of these areas. Whilst we are happy to request a location for you, it is on the understanding that it is not guaranteed. As this is a large conference we are unable to move your allocated room unless there is a maintenance issue. Thank you in advance for your understanding.
Yes, our dedicated team will be in resort to assist you during check in and check out, and specific times during each conference day, They will also be available via what's app outside of these times. Full details will be in your welcome pack available at Checkin.
The ETIAS visa, imposed by the European Union (EU), will be required for British citizens travelling to Europe. You do not currently need an ETIAS visa to go to Europe, but travellers will be required to have one from 2025
Following the finalisation of Brexit on 31 January 2020, the UK ceased to be a member of the European Union. After a transition period lasting until 31 December 2020, new rules regarding travel and immigration came into effect for British citizens wishing to visit EU countries.
The European Travel Information and Authorization System (ETIAS) will need to be applied for online ahead of travel, and presented at passport control.
The ETIAS application process will require British citizens to provide personal information, travel details, and answer security-related questions. Once approved, the ETIAS will be valid for multiple entries over a period of three years or until the passport’s expiration, whichever comes first. This streamlining of procedures is expected to expedite entry at border crossings, enhancing the overall travel experience.
The good news is that the extra cost is unlikely to break the bank. The ETIAS fee for British citizens will be €7 (around £6) per applicant. under 18s and over 70s can apply for a free permit. More good news is that the visa will be valid for three years, or until your passport expires, if that happens first.
This fee must be paid at the time of application and is non-refundable, regardless of whether the authorisation is approved or denied.
The application process is straightforward. British travellers can apply for the ETIAS online through the official EU website. It is advisable to apply a few weeks before the intended travel date to allow enough time for the visa to be processed.
